Welcome
ANGLER is your operations assistant for North Country Flies and Angling. It runs 24/7 on your Mac mini, reads your business systems, and does the busywork so you can spend your time selling and fishing.
This playbook is a living guide. Scott will add to it as ANGLER learns new jobs, so check back when something changes. Anything you're unsure about, ask ANGLER first, then text Scott.
Ways to reach ANGLER
Telegram and the dashboard are the same conversation, so start in one and pick up in the other.
| Where | Best for | How |
|---|---|---|
| Telegram | Quick questions on the go | Message the ANGLER bot, or one of your topic chats |
| Dashboard | Seeing everything at once | angler.keelpointconsulting.com, log in with your email code |
| Voice | Hands busy or driving | Tap the mic in the dashboard chat, talk, tap again |
| Files | Price lists, POs, screenshots | Paperclip in the dashboard chat, or drag and drop |
Setting up topic chats in Telegram
Give each kind of work its own chat with ANGLER, so orders never get mixed up with trip planning.
To create one
- In Telegram, tap the pencil icon in the top right
- Tap New Group
- Search for the ANGLER bot, select it, and tap Next
- Name the group, for example "Orders"
- Add a photo if you like, then tap Create
- Send a first message that says what the chat is for, like "This chat is for wholesale orders and invoices"
Suggested chats to start
- Orders & Invoicing: Miva orders, QuickBooks, shipped but not invoiced
- Backorders & Factory: open POs and factory follow-ups
- Dealers & Reps: email drafts and contact lookups
- Morning Report: where the daily report can land
- Hunting & Fishing: trips and anything outside of work
Tips
- Keep the main ANGLER chat for quick, anything-goes questions
- Don't add other people to these groups. ANGLER ignores any group with someone else in it.
- Pin the chats you use most: swipe right on a chat and tap Pin
What's connected today
ANGLER can read all of these, and it changes nothing in any of them yet.
| System | What ANGLER sees | Access |
|---|---|---|
| Miva | Wholesale orders, products, dealers | Read only |
| QuickBooks Online | Invoices, customers, what's overdue | Read only |
| Gmail | Your inbox, to flag dealer, rep and factory emails | Read only |
| Google Drive, Sheets, Docs | Your files, like NCF order processing and the stock PO sheet | Read only |
| Google Calendar | Today's events | Read only |
| Google Contacts | Dealer and rep contact info | Read only |
| Telegram | Chats with you | Two way |
| Dashboard | Live numbers, refreshed every 30 minutes, 7 AM to 7 PM | Two way |
The morning report
Every day at 7:00 AM Eastern, ANGLER sends a short report to you on Telegram. It takes under a minute to read.
What's in it
- New wholesale orders since yesterday, and open orders by status
- Backorders, and anything past its expected date
- Money: invoiced yesterday, overdue, and total outstanding
- Orders that look shipped but not invoiced
- Important emails from dealers, reps or the factory
- Today's calendar
- Up to 3 things to look at today
Rules: what ANGLER will and won't do
Right now ANGLER is read only everywhere. As you get comfortable, Scott will turn on new abilities one at a time, and you approve each one.
ANGLER will
- Read your orders, invoices, email, files and calendar
- Summarize, flag problems and answer questions
- Draft emails, follow ups and reports for you to review
ANGLER won't, unless you say so
- Send anything to a customer, dealer, rep or the factory
- Create, change or send an invoice
- Change orders, prices or stock in Miva
- Delete anything, anywhere
Keeping it safe
- Never paste passwords, card numbers or bank details into a chat
- If something ANGLER says looks wrong, tell it. It checks instead of guessing.
Best practices for asking ANGLER
Talk to ANGLER like a sharp new hire: be specific, and say what you want back.
| Instead of | Try |
|---|---|
| "How are sales?" | "Total wholesale orders this week vs last week, by dealer" |
| "Any problems?" | "Which invoices are more than 60 days overdue, biggest first?" |
| "Email Drift Fly Shop" | "Draft a friendly email to Drift Fly Shop that their backorder ships Dec 15. Show me before sending." |
| "Check backorders" | "Which dealers are waiting on steelhead patterns, and when is the factory PO due?" |
Other tips
- One topic per chat keeps answers on track
- Ask for a list, a table or one line, whatever fits your screen
- Correct it in plain words, like "no, that order shipped Tuesday." It remembers.
- Ask "what can you do with this?" when you share a file
- For anything big or new, ask it to show a plan before it starts
Still open / coming next
These are the next pieces Scott and Mike are working through, in rough order.
Needs Mike's answer
- What Miva status codes 0, 200 and 201 mean, and whether the 73 old pending orders are real
- Was order #186439 (Bill Jackson's Shop for Adventure) invoiced?
- Which Drive folder the Ordoro reports go into
Being built
- Ordoro workflow: match tracking numbers and shipping costs to orders and invoices
- Order line items from Miva, so ANGLER sees exactly what each dealer ordered
- Backorder tracking from the NCF STOCK PO sheet
- Morning report tuned to Mike's feedback
Later, one at a time with Mike's OK
- Draft QuickBooks invoices for Mike to approve
- Write tracking numbers back to Miva
- Draft dealer and factory emails for Mike to send
To figure out: using Claude with ANGLER
Mike's Claude Pro account and ANGLER don't talk to each other directly. The plan is to split the work: ANGLER handles anything that touches the business systems, and Claude on Mike's MacBook is for thinking, planning and drafting.
- Brief Claude first. Set up a Project in Mike's Claude called "ANGLER" with instructions that explain what ANGLER is, its rules, and how to hand work off. Scott writes those instructions once the plan is set.
- Teach ANGLER with skills. When Mike works out a process with Claude, like how backorder emails should read, he asks Claude to write it up as a skill file. Scott or ANGLER adds it to ANGLER's skills, and ANGLER follows it from then on.
- Hand off through Google Drive. Mike saves finished work from Claude, like price lists, plans or instructions, into a Drive folder called "ANGLER Inbox." ANGLER checks it each morning and picks it up.
- Write the instructions for Mike's ANGLER project in Claude
- Create the ANGLER Inbox folder in Drive and have ANGLER check it daily
- Test one skill handoff from Claude to ANGLER
